Preparing for your first appointment with Active Health Solutions

What to prepare:

  • Before our visit, fill out the electronic intake forms that are emailed to you after scheduling your appointment.
  • Please upload any other paperwork (i.e., referral, x-ray, MRI report) to your online portal.
  • Make a list of questions you’d like to ask during our first meeting.
  • Be prepared to talk about your medical history, previous treatments, limitations you’re dealing with, and other relevant details.
  • Comfortable, loose-fitting clothing that allows the physical therapist to examine and treat the affected area. For example, if you have a knee issue, consider wearing shorts.

What To Expect

During our first in-home physical therapy session, your therapist will perform a comprehensive evaluation that includes a review of your medical history, an assessment of your current condition, and an examination of your range of motion, strength, and movement patterns during your appointment.

Based on your evaluation findings, our physical therapist will devise a therapy plan for you. On the first day, you will likely receive an explanation, education, and some treatments to alleviate any pain you are experiencing and initiate your recovery. You may also be given home exercises to help support your progress in therapy.

Each session after that will build on the initial evaluation to create the most significant impact possible for each therapy session. The goal will be to help you recover quickly and achieve meaningful, lasting results.

Communicating openly and honestly with your physical therapist throughout the session is essential, as is sharing any concerns or questions you may have. This will help ensure the most effective treatment and a positive experience. We genuinely want to listen and understand your problem(s) and provide you with the best possible solution!

Our therapists will record their findings and treatment plan and can give those to any medical expert of your choosing. Our therapist will also discuss your goals at your first session and determine how long and frequently you should attend your physical therapy sessions.

You will arrange the remaining sessions with your therapist at your initial appointment. You may contact us at any time if you have any questions.

Did you know you can go directly to a physical therapist in the Washington, DC, Northern Virginia and Maryland area when dealing with pain or an injury? It doesn’t matter if you’re dealing with an old or new problem. In all 50 states, you can schedule a visit with one of our therapists at Active Health Solutions to get help sooner than later.

Direct Access refers to the ability of patients to seek and receive physical therapy services without needing a referral or prescription from a physician or other healthcare provider. This allows patients to access physical therapy services more quickly and efficiently, potentially leading to faster recovery and reduced healthcare costs.

Direct Access benefits patients in several ways:

Faster access to care

Patients can immediately consult with our physical therapists at Active Health Solutions without waiting for a referral, allowing treatment to begin sooner and potentially experience faster recovery times.

Reduced healthcare costs

Direct Access can eliminate the need for multiple appointments with different healthcare providers, thereby reducing overall healthcare costs. Early intervention through physical therapy may also prevent the need for more expensive treatments, tests, or procedures later on.

Streamlined care

Our physical therapists are highly trained healthcare professionals who evaluate and treat musculoskeletal and movement-related issues. Direct Access allows you to receive specialized care from the most appropriate healthcare provider, resulting in more focused and effective treatment.

Enhanced patient autonomy

Direct Access empowers you to take greater control over your healthcare decisions and choose the most appropriate care for your needs.

It is essential to note that Direct Access laws and regulations vary by state in the United States. Some states allow unrestricted Direct Access, while others have specific provisions or limitations, such as a maximum number of visits or a requirement for a referral after a certain period.

How direct access laws affect health insurance

Unfortunately, health insurance carriers are notorious for changing their rules. There is no standard requirement for physical therapy benefits, so policies differ from carrier to carrier. So although Direct Access laws may allow you to seek physical therapy services without a referral, some insurance carriers may still require a referral or prescription for coverage.

It is essential to check what your insurance covers, no matter what! And when you contact your insurance provider, be sure to clarify their specific requirements for physical therapy coverage.

Remember to ask about any limitations on the number of visits or the duration of treatment.

As you progress through your treatment, keep track of the number of visits and the duration of your treatment. This will help ensure you remain within your insurance provider’s coverage limits and comply with state-specific Direct Access regulations.

It is also important to know that although Direct Access allows patients to seek physical therapy services without a referral, it is still vital to maintain open communication with your primary care provider or specialist.

Our team will inform them of your physical therapy treatment and update them on your progress at your request. This will help ensure coordinated care and may be necessary if a referral or prescription is eventually required.

It is vital to keep in mind that some insurance companies may still require a referral or prescription for coverage. Always check with your insurance provider to understand their specific requirements for physical therapy coverage.

Direct Access to physical therapy provides patients with quicker, more efficient access to care, promotes patient autonomy, and can reduce healthcare costs. However, you should be aware of your state’s specific Direct Access regulations and consult with your insurance provider to understand coverage requirements.

Payment Options

Good Faith Estimate

NO SURPRISE ACT NOTICE — YOUR RIGHT TO A “GOOD FAITH ESTIMATE”

  • You have the right to receive a ‘Good Faith Estimate’ explaining how much your medical care may cost.
    Under the law, health care providers need to give patients who do not have insurance, or who are not using insurance, a cost estimate of the bill for medical items and services.
  • You have the right to receive a ‘Good Faith Estimate’ for the total expected cost of any non-emergency items or services. This includes related costs like medical tests, drugs, equipment, and hospital fees.
  • Your health care provider must give you a ‘Good Faith Estimate’ in writing for scheduled services within designated timeframes. You can also ask your health care provider for a ‘Good Faith Estimate’ before you schedule an item or service
  • If you receive a bill that is at least $400 more than your ‘Good Faith Estimate’, you can dispute the bill.

Make sure to save a copy or picture of your Good Faith Estimate.

Do I need a doctor’s referral to receive treatment?

The short answer is no!  

Thanks to Direct Access, you do not need a doctor’s referral or prescription to receive treatment from a physical therapist. Direct access is the legal right that enables patients in all fifty states and the District of Columbia to access physical therapy services and programs directly.

Can I go to any physical therapy clinic I want?

Absolutely! According to “The Patient’s Bill of Rights” law, you can choose what physical therapy clinic you want for your care. While physicians may recommend a specific clinic, you are not obligated to follow their suggestions. Your fundamental patient rights protect your ability to make informed decisions about your treatment and ensure you are treated with respect and confidentiality.

The Patient’s Bill of Rights is a set of principles that outline the fundamental rights of patients within the healthcare system. It was established to protect and empower patients. It aims to ensure that individuals receive quality care, access necessary information, and are treated with respect and dignity. While specific details may vary by jurisdiction, the Patient’s Bill of Rights generally covers the following key areas:

  • The right to information about quality: You have the right to access easily understandable information about the credentials of healthcare providers, the quality of healthcare facilities, and the services covered by your health plans.

What are the office policies I should be aware of?

At Active Health Solutions, we want to ensure that our patients know our office policies to provide the best possible care and a positive experience. Here are some essential office policies to be aware of:

  • Appointment cancellation policy: We understand that sometimes appointments need to be rescheduled or canceled. Please let us know at least 48 hours in advance if you need to cancel or reschedule your appointment to avoid a cancellation fee.

Any missed appointments that have not been rescheduled at least 24 hours in advance will result in a non-refundable charge of the full cost of a treatment session. Any missed appointments that have not been rescheduled at least 48 hours in advance will result in a non-refundable charge of the half cost of a treatment session. 

  • Payment policy: Payment is due at the time of service. We accept various forms of payment, including cash, check, and credit card. Please let us know if you have any questions or concerns about payment. We accept FSAs and HSAs.
  • Insurance policy: We are an out-of-network provider with insurance plans. Within 48 hours of receiving payment, we will email you a superbill, or medical receipt, that you can submit directly to your insurance company for reimbursement. Your insurance company will send you a check for reimbursement. We never collect payment from your insurance company.
  • Privacy policy: We take your privacy seriously and follow strict HIPAA guidelines to ensure the confidentiality of your personal and medical information. Please let us know if you have any concerns about your privacy or would like to review our privacy policy.
  • Communication policy: We encourage open and honest communication with our patients and welcome any questions or concerns you may have about your treatment plan or progress. Please let us know if there is anything we can do to improve your experience.

We also ask that if you have been exposed to the COVID-19 virus or are experiencing any COVID-19 symptoms, please reschedule your appointment so that we can maintain a safe, healthy environment for our patients and employees.

Will my insurance cover the cost of treatment?

With Active Health Solutions, insurance is likely to cover at least partial cost of your treatment, depending on your specific plan.

At Active Health Solutions, we understand that paying for physical therapy can be a concern. As an out-of-network provider with commercial insurance companies, we are able to provide 60-minute one-on-one sessions without insurance directing our care. We have found that without the constraints of in-network insurance contracts, we are able to treat our patients using evidence-based practice and clinical expertise thus enabling our patients to get better faster. With our model, we have seen that our patients require fewer and less frequent visits to get back to the activities they love.

We accept various payment methods, including cash, check, debit, and credit cards, and provide payment options based on your needs. FSAs and HSAs are accepted. After the appointment, we provide our patients with “superbills” that they can submit to their insurance companies for direct reimbursement. Insurance payment never goes to us, always directly to the patient with the amount dependent upon the patient’s plan. I do not have insurance. Can I still receive physical therapy?

At Active Health Solutions, we believe everyone deserves access to quality healthcare, and our clinic will never turn a patient away. We offer cash-based options for patients without insurance, which can be discussed with our friendly front desk staff at our Washington, DC, Northern Virginia or Maryland clinic. 

We understand that healthcare costs can be a concern, and we strive to provide affordable options for all patients. Please do not hesitate to contact us with any questions or concerns.

How can I pay for each session?

At Active Health Solutions, our policy is to collect payment at the time of service to ensure a seamless experience for all patients. We also provide payment options based on your unique circumstances and accept various methods of payment, including the following:

After payment has been received, we provide our patients with a superbill which can be submitted directly to insurance for reimbursement. We understand that navigating insurance can be confusing, and our friendly staff is here to help you with that process.

How is my progress measured?

At Active Health Solutions, our skilled physical therapists are dedicated to helping you achieve optimal health and well-being through a comprehensive and personalized approach. How long is each appointment going to be?

Appointment durations vary based on individual needs, but initial sessions typically last about 60 minutes. Subsequent sessions generally range from 45 to 60 minutes. 

It is common for your therapist to want to see you more often in the early stages of your care to assess your progress and confirm your treatment plan. You’ll probably see your therapist once a week initially and then make your appointments more spaced out as you proceed through treatment.

Our therapists will work with you to determine the appropriate length and frequency of your appointments to ensure your optimal progress.

What should I do to prepare for my first appointment?

  • Consider the benefits of an out-of-network provider: As an out-of-network provider, we are enabled to see our patients for a full, hour-long one-on-one session without the strict demands of an insurance company. This allows our expert physical therapists to treat our patients as they have been trained, not according to an in-network contract. We have seen that patients typically require fewer and less frequent visits when treated by our in-home expert therapists.
  • Review your insurance policy: Start by examining your insurance policy documents regarding out-of-network benefits, which should detail the scope of your coverage. Typically you will have an out-of-network deductible which is the amount that needs to be met before your coinsurance kicks in. At that time, your insurance company covers a certain percentage (your coinsurance) of the allowed amount per each service code. With plan questions, contact your insurance company’s customer service hotline or online portal for further clarification and to confirm your benefits.
  • Obtain a physician referral (rarely required): While uncommon, some insurance plans may necessitate a referral or prescription from your primary care physician to cover physical therapy services. Check with your insurance provider and obtain the necessary documentation if needed.
  • Submit superbill for reimbursement: After each session, we will provide you with a superbill which is a medical receipt that includes the necessary codes and license numbers for insurance reimbursement. Almost all commercial carriers have online portals for submission. Once reviewed, your insurance company will send you a check for direct reimbursement. We never receive reimbursement from your insurance company so all of the payment goes to you.
  • Medicare consideration: At this time, we have no relationship with Medicare and therefore are unable to provide superbills to patients for reimbursement. We are happy to help you find someone who accepts Medicare to ensure you receive high quality care.

By taking these proactive steps, you can confidently and clearly understand any associated costs. Consider the following to help offset the costs of your therapy:

Utilize Health Savings Accounts (HSAs) or Flexible Spending Accounts (FSAs): If you have an HSA or FSA, you can use these funds to cover the costs of your at-home physical therapy visits.
